Why it’s crucial for wedding suppliers to work together

You’ve met the happy couple, they’ve hired your wedding services and you’re hard at work making sure your client will be 100% satisfied. But couples don’t consider the quality of each individual part of their wedding in isolation - every element of their big day needs to fit seamlessly into the next. 

Considering the impact other suppliers will have on you - or vice versa - may not be a priority in your planning process but as each individual service plays an equally important role in creating the perfect day, it is essential that everyone involved in the wedding sees its delivery as a partnership.

So how can you ensure that, whatever your responsibility on the day, you work together with other suppliers rather than at odds with each other?

1. Communicate

If you're a wedding venue, communicate any restrictions that your suppliers may face early - don’t keep them quiet until the last minute. A live wedding band who, on arrival, find out about your strict entertainment rules - which have a massive impact on the quality of the performance - will not be happy and neither will the wedding party. 

Consult with the entertainers directly to see how they can tailor their set, thereby adhering to your rules while you, in return, can support them in delivering the best entertainment possible to your customers.

2. Share your plan

If your role on the day involves monopolising a great deal of the bridal party’s time - photographers/videographers, here’s looking at you - create a brief breakdown of your movements on the day and hand out a copy to other suppliers. Think about who would benefit from knowing your plans. 

Are you likely to whisk the couple off for their photo shoot just as the caterers are serving the canapés? Is the band likely to call for the first dance just as you’re about to capture the cutting of the cake? Ensuring everyone knows your intentions will help everything move along seamlessly, without affecting your work or making the couple feel like they’re in a tug of war.


3. Introduce yourself

On the day, introduce yourself to the key suppliers who can have a positive impact on your work. If you're a band, chat to the photographer when you arrive - you may be able to set up your kit in a way that helps them get the best photos of everyone having a great time as well as ensure that the photographer is not in your way. You can also discuss if you want the band to feature in the pictures - and maybe get some fantastic action shots for your portfolio as a result.

4.  Keep in touch

Now that you’ve introduced yourself, make the most of your new-found contacts. Suppliers, even ones in the same business, shouldn’t treat each other as competition but rather as lucrative friends. If you’re in the same business and establish a firm relationship with another supplier, who will be at the top of their list when they’re overbooked and a potential client comes knocking? 

Pretty much every product and service that makes up a wedding is booked on recommendations and successful networking has the potential to bring in new customers without you having to lift a finger.  And if you’re not in the same business, it’s even more important to acquire and maintain that supplier relationship. If you’re working at a wedding together, they’ve had the chance to see the quality of your work first-hand and will be in the perfect position to make a truthful and quality recommendation to their own clients when they’re looking for other wedding services. 

On top of all that, you get access to a source of invaluable inside information...that venue your band was going to play at? It has a sound limiter they haven’t disclosed. The wedding ceremony you’re going to be photographing - the officiants are strict on when they like the pictures to be taken, don’t anger them. The expertise your contacts will have could help you prepare for any eventuality and avoid any unforeseen circumstances.

The most important thing to remember is that you’re in this together - a successful partnership to achieve the perfect day will secure glowing endorsements not just from the wedding party, but from your fellow suppliers as well. Win, win!
